Mandate and context
As Polytechnique Montréal undergoes a digital transformation, the IT Service aims to review its strategic objectives and priorities to ensure strong alignment with the institutional strategic plan and to meet the expectations of its strategic partners and the community. The mandate to develop the 2025-2028 IT Service master plan, carried out from September to October 2024, involved a consultative and collaborative approach. Over 20 stakeholders were consulted, ensuring a collegial and mobilizing approach to align the priorities and needs of the various IT Service sections with those of strategic partners and functional directors.
Implementation and solutions
The mandate was carried out in four structured phases. Phase 1 began with two workshops involving IT Service (IS) employees and a targeted group of strategic partners, followed by a meeting with the IS director. The objective was to establish the priorities of the different groups regarding IT services and to initiate the discussion on priority areas and four-year objectives for the team. Phase 2 consisted of a series of individual interviews with section directors and key stakeholders to develop the first draft of the 2024-2028 strategic framework. Phase 3 continued with a half-day reflection session and two workshops to solidify the team’s mission, vision, and values, as well as to design an action plan aimed at the objectives identified for the next four years. Finally, Phase 4 focused on the co-creation of methods for monitoring performance and tracking progress of the master plan, thus ensuring its implementation and success.
Impact and outcomes
At the conclusion of the consultative and collaborative process, all IT Service teams were mobilized around ambitious objectives, a phased action plan, and a clear and structured monitoring and communication strategy.
